Damage & Cleaning Policy

Learn about your responsibilities while rental items are in your care, cleaning expectations, damage charges, and our optional damage waiver.

We understand that normal use of rental equipment is part of every event. This policy helps clarify what is considered normal wear and tear and what may result in additional charges.

Customer Responsibility

You are responsible for all rental items from the time they are delivered or picked up until they are returned to or picked up by Hill Country Event Rentals.

Please help protect rental items from unnecessary damage, theft, or loss while they are in your care.

Normal Wear & Tear

Normal wear and tear is expected and will not result in additional charges.

Examples include:

  • Minor scuffs

  • Light dirt from normal use

  • Everyday handling during your event

Damage Beyond Normal Wear & Tear

If rental items are damaged beyond normal wear and tear, lost, or stolen, additional repair or replacement charges may apply.

Examples may include:

  • Broken or missing items

  • Burns

  • Excessive stains

  • Permanent damage

  • Missing parts or accessories

  • Damage caused by misuse or negligence

Cleaning

Please return rental items in reasonably clean condition.

While normal cleaning is included, excessive dirt, debris, food residue, or other conditions requiring extensive cleaning may result in additional cleaning fees.

Please refer to our Linen Damage Policy for specific information regarding linen care and cleaning.

Optional Damage Waiver

We offer an optional Damage Waiver that can help reduce your financial responsibility for accidental damage to eligible rental items.

The Damage Waiver does not cover loss, theft, intentional damage, negligence, or misuse.

If you have questions about the Damage Waiver or your responsibilities during your rental period, please contact our team before your event.
