Rental Terms & Conditions
Review the general terms and conditions for renting from Hill Country Event Rentals, including reservations, deliveries, customer responsibilities, equipment care, and important rental policies.
By reserving rental equipment from Hill Country Event Rentals, you agree to the terms outlined in your rental agreement and rental contract.
Below are some of the most important terms to be aware of before your event.
Reservations
Rental items are reserved exclusively for your event once your reservation has been confirmed and the required payment has been received.
Because inventory is reserved specifically for your event, cancellation and change policies apply.
Delivery & Pickup
Delivery and pickup dates will be outlined in your quote or rental contract.
Delivery and pickup occur within scheduled delivery windows unless otherwise arranged.
Additional charges may apply for deliveries requiring stairs, elevators, restricted access, difficult terrain, or after-hours service.
Tables and chairs do not include setup or teardown unless those services have been added to your reservation.
Equipment Care
Customers are responsible for rental equipment from the time it is delivered or picked up until it is returned or collected by our team.
Please:
Protect rental items from damage, theft, and loss.
Return equipment in reasonably clean condition.
Notify us immediately if the equipment becomes damaged or unsafe to use.
Repair, replacement, or additional cleaning charges may apply for damage beyond normal wear and tear.
Tent Installations
All tents must be professionally installed and removed by Hill Country Event Rentals.
Depending on the installation surface, tents may be secured with stakes or weighted ballast systems.
Customers are responsible for ensuring the installation area is accessible and, when staking is required, that underground utilities have been marked by calling 811 before installation.
Site Preparation
Please ensure the setup area is:
Clear of vehicles and obstacles
Accessible for our installation crew
Ready prior to our scheduled arrival
Additional fees may apply if the setup area is not accessible or requires additional labor.
Customer Responsibilities
Customers may not:
Move or relocate installed tents.
Remove tent sidewalls without approval.
Use staples, nails, tacks, or pins on rental equipment.
Apply tape to the tent vinyl.
Customers are responsible for any damage resulting from misuse or unauthorized modifications.
Weather
Outdoor events are subject to changing weather conditions.
While our tents provide protection from the sun and light rain, they are not designed for severe weather. Our team will communicate with you if weather conditions affect installation or event safety.
